General Statement

Canadian North respects your right to privacy and is dedicated to the protection of your personal information. This privacy policy (“Privacy Policy”) describes how Canadian North collects, uses and discloses personal information.

For the purposes of this Privacy Policy, “Canadian North”, “we”, “us” means Canadian North Inc., Bradley Air Services Limited and their subsidiaries that are responsible for ensuring that we comply with relevant data protection laws when processing your personal information. This Privacy Policy applies to personal information collected, used and disclosed by Canadian North.

By providing us with your personal information, using any of the products or services provided by Canadian North and by using this website, you indicate your acceptance of this Privacy Policy, as well as any other terms that you agree to as part of your purchase or participation in any Canadian North services, products, promotions, consents or events. If you do not agree with any content of this Privacy Policy, including the nature of information collected/use/disclosed by us, we request you to not use such products or services or otherwise provide your personal information to us. .

You are requested not to share your personal information with us if you are below 18 years of age (or such other age as applicable in your jurisdiction). If you wish to use any products or avail any services provided by Canadian North, you may request your parent or legal guardian to do so on your behalf.

This Privacy Policy applies to anyone who collects, uses and discloses personal information on behalf of Canadian North, including employees and third party service providers. This Privacy Policy also applies to the website to which it is posted.

Latest update: We have revised our Privacy Policy with effect on March 15 2024. We reserve the right to modify or update this Privacy Policy at any time with or without prior notice, as required or permitted by applicable law. Any changes will be immediately posted on the website along with the date of the modification. Each time you use our products or services that refer to this Privacy Policy, the version of the Privacy Policy then posted will apply to that use.

Personal Information

Personal information is any information about an identifiable person, including information that can be reasonably used to identify a person, directly or indirectly, or such information which would enable contact with a person. Personal Information can be information such as name, telephone number, email address, home address, and general information relating to your interactions with Canadian North. Personal information does not include anonymous information or information that relates to a group of people rather than individuals where the information does not otherwise contain identifying information. This Privacy Policy applies to personal information and does not apply to anonymous information.

Collection of Personal Information and Purpose of collection:

We collect your personal information directly from you where necessary to provide you with the products and services we offer. For example, we collect personal information when you interact with us, when you fly with us, browse our website, participate in a program we offer (like our Aurora Rewards program), or enter a contest we sponsor.

We may also collect personal information from a third party or someone acting on your behalf. Unless and until we are advised otherwise, we will consider a third party booking on your behalf to have your authority to provide us with your personal information in the same manner as if you were providing that information yourself.

When you Book a Flight

When you book a flight with Canadian North you will be required to provide certain personal information to complete your transaction. This may include your name, date of birth, nationality, gender, marital status contact information (such as your address, telephone number and email address), and, credit card number and expiry date or other payment information. This information is required for identification purposes, for contact purposes, and to complete the process of your purchase.

Requirements of Government Authorities

There may be situations where Canadian North is required by law to collect, use or disclose personal information about you without your knowledge or consent. These situations are most likely to arise when you are traveling with us and a government authority has requested the release of certain information. Canadian North may be required to disclose to customs and immigration authorities (of any country) information that we hold about you and your travel arrangements. This may include details with respect to your permanent resident card number, citizenship, immigration visa number, the means by which you paid for your flight, and details as to how you booked your flight.

Special Assistance

Canadian North offers a range of services to passengers with special needs and for unaccompanied minors.

In order to properly serve persons with special needs and to ensure the health and safety of all concerned, Canadian North may require additional personal information, including relevant medical information, dietary requests and information on particular requirements, such as whether a wheelchair, oxygen supply or other special equipment are required. This information may be disclosed to allow Canadian North the ability to properly provide special assistance.

In order to serve unaccompanied minors, Canadian North will require personal information concerning the following people: the child, the parents (or guardians), the adults dropping off the child, the adults supervising the child at any stopovers and the adults meeting the child at the end of their travel.

Discounts

Canadian North offers special discounts for seniors, Elders, children and bereavement fares. To assess fare eligibility and ensure that your ticket is correctly processed Canadian North may require you to provide personal information such as your date of birth or a certificate of death.

Visiting our Website

Some of Canadian North’s web pages contain “cookies,” which are data that may be sent to your web browser and stored on your computer. This allows our computer server to recognize you when you visit our website in the future and also allows Canadian North to develop our website to meet the needs of our users. These cookies do not usually contain personally identifying information. By clicking on “Accept”, you consent to the use of cookies by us to collect data. By clicking on “Reject” you can reject the use of non-essential cookies and no data shall be collected through non-essential cookies.

Aurora Rewards program

If you sign up for an Aurora Rewards account, we use your personal information to manage your bookings and travel with us, and to administer and process Canadian North flight credits, travel credits and to extend exclusive offers to you based on your interests and travel activities.

First in Line Mailing Lists

Customers are able to register to become a member of First in Line on an optional basis. By registering, customers provide Canadian North with their personal information to allow Canadian North to inform them of seat sales and other promotional offers. Upon your request, you can remove your information at any time by sending an email to reservat@canadiannorth.com.

Your personal information is not provided to other companies and you will only receive information from Canadian North.

Employment Opportunities

Canadian North advertises position vacancies on its website. If an individual applies for a job they can either complete an application form that asks for personal information or they can submit their resume. This information is used to contact you and to review your application. Your application will remain on file for six months, after which it is destroyed. Canadian North’s Customer Privacy Policy may change from time to time, however changes will not impact Canadian North’s commitment to the safeguarding of your personal information, or the manner in which we use it. Any such change will be posted on this website. Canadian North reserves the right to modify this policy at any time, so please review it frequently.

Consent

Canadian North collects, uses and discloses personal information with your knowledge and consent, unless otherwise required or allowed by law. We collect, use and disclose your personal information only for the purposes identified and enumerated in this Privacy Policy. If we identify a new purpose for collecting, using or disclosing your personal information, we will update this Privacy Policy and/or contact you to obtain your consent for the new purpose (unless otherwise required by law). In the case of personal information of minors or those incapable of providing consent, those consenting on their behalf must be parents, legal guardians or legal representatives, as appropriate. Parents, legal guardians or legal representatives will exercise privacy and data protection rights on behalf of such individuals.

If you register with Canadian North’s First in Line service, submit your application for a job within Canadian North, or participate in a promotional contest, you are consenting to allow Canadian North to contact you.

If you wish to withdraw your consent to our collection, use or handling of your personal information, then you may do so by exercising your right as more fully elaborated under Your Rights. Once we receive notification that you have withdrawn your consent, we will no longer process your personal information for the purpose(s) to which you originally consented (unless there is another legal ground for the processing). Please note that where we rely on your consent to process your personal information and you choose to withdraw your consent, we will advise you of any consequences of the withdrawal of your consent as sometimes, withdrawing consent means we can no longer provide a product or service to you.

Limiting Collection

Canadian North will limit the collection of personal information to that which is necessary for the purposes that have been identified. Such information will be collected by fair and lawful means.

The amount and type of information collected will be limited to that which is necessary to fulfil the purposes identified.

Limiting Use & Disclosure

Canadian North will not use or disclose your personal information for any purpose other than those for which it was collected without your express consent, or as required or permitted by law.

The way Canadian North uses your personal information may differ depending upon how you interact with us, and what services or products you are requesting for. Below is a list of some of the ways we use your personal information, when you or someone on your behalf, book services provided by Canadian North:

  • We use and share your personal information to respond to your requests or complete your transactions, including to process your request to book a flight; contact you about your booking including schedule changes or cancellations.
  • Complete your bookings and fulfil your requests for our products and services, including requests for special assistance or meals, which may be provided by third party catering services or ground handlers. If your travel includes a transfer to another airline, we will share relevant personal information to facilitate that transfer, including date of birth (to support fare eligibility and identity verification) and any requests for special assistance (so the receiving airline can accommodate those requests as possible).
  • Identify you to permit you to board an aircraft.
  • To process a refund.
  • Review medical information to ensure that you qualify for a special arrangement, and to better assure the health and safety of all concerned in accommodating your special arrangement.
  • Contact you following your flight to ask about your experiences in the form of a survey (which you can opt out of at any time).
  • We use and share your personal information to improve our products and services and to provide you with relevant offers.
  • We may use your personal information to generate de-identified information for further analysis, such as to identify trends about our customers as a whole, including to support decisions about improvements to our products, services or operations.

Disclosure of information

Canadian North discloses personal information as reasonably required to process your request for travel services, including flight bookings, to provide other requested services to you, as is required or permitted by law, or as otherwise set out in this Privacy Policy. Below is a list of some of the ways we might disclose or share your personal information (Please note that this list includes only some examples and is not exhaustive):

  • We share your personal to address our business and legal needs, including to ensure the safety and security of our operations, to fulfil legal requirements, to protect our business or legal needs such as to investigate, detect or prevent fraud or harm to our systems.
  • Medical information is disclosed to third party medical personnel where you have requested special arrangements due to a medical condition.
  • Flight number, flight timing, and confirmation that you boarded your flight, is disclosed to the individual who booked your flight after they have adequately identified themselves.
  • Personal information is disclosed to a governmental entity, law enforcement or a third party where required or authorized by law, regulation, search warrant, subpoena or court order or if we determine it is necessary or desirable to comply with the law or to protect or defend our rights or property.
  • We may transfer and disclose your personal information to service providers who support us with various functions including reservations and ground handling, information security, data storage, research, customer relations, payment processing, data analysis, email delivery, IT, customer service, and marketing. These service providers process personal information on our behalf for our purposes only, and must agree to certain privacy obligations in their contracts with us. These include complying with privacy laws, safeguarding personal information, and only processing that information under our direction for permitted purposes.
  • We also reserve the right to disclose and/or transfer personal information to a related party in the event of a proposed or completed purchase, sale (including a liquidation, realization, foreclosure or repossession), lease, license, merger, amalgamation or any other type of acquisition, disposal, transfer, conveyance, financing, the taking of security on, or securitization of all or any portion of Canadian North or any of the business or assets or shares of Canadian North or a division thereof, in order for you to continue to receive the same products and services from such related party or third party.
  • We may also disclose aggregated and anonymized information, which no longer allows an individual to be directly or indirectly identified, for study or research purposes, for the production of statistics, and such other purposes as permitted by applicable law.

Profiling and automated decision making

We use profiling whereby we undertake automated processing of your personal information to assess and evaluate certain personal aspects to try and predict something about you, in order to provide you with customized experiences. 

Safeguards, Storage and Retention of Personal Information

Canadian North maintains appropriate administrative, technical, and physical safeguards to protect your personal information. These safeguards are intended to prevent the loss, theft or unauthorized access, use, disclosure, modification or destruction of your personal information. Canadian North’s Internet systems are configured with data encryption. This means that that when an individual sends personal information to Canadian North, such as a credit card number, the electronic data is protected by Secure Socket Layer (SSL) technology to ensure safe transmission. Your personal information is subject to restricted access. We also sensitize our personnel to the importance of safeguarding personal information.

In addition, any personal information that is kept in hard copy is retained in secure facilities. Access to these facilities is restricted to those who need it in order to deliver services.

Some of our service providers access, use or store your personal information outside of your province or territory, or outside of Canada. The laws of those other places will then apply to that information, including laws that may permit or require disclosing that information to government, courts and law enforcement.

Please note that if your personal information is being collected by a third party, it will be stored in accordance with the privacy policy and record retention requirements of that third party.

We keep your personal information for as long as it is needed to fulfil the purposes for which it was collected, or a longer period if permitted or required by law.  When no longer needed, personal information is destroyed, anonymized or disposed of using secure methods.

Like most companies, we cannot guarantee that security safeguards are always effective or that online communications are always secure.  A breach of security safeguards can result in the risk of identity theft, for example. In these cases, we act promptly to mitigate the risks and to inform you where there is a real risk of significant harm, or as otherwise required by law.

The safety and security of your personal information also depends on you. Some of our services are accessible only through the use of an individual user ID and password, such as our Aurora Rewards program. To protect the confidentiality of your personal information, you must keep any password associated with your use of our services confidential, including the Aurora Rewards program account information. Do not disclose it to any other person. Please let us know immediately if you believe that the confidentiality of your password has been compromised or if it has been misused. Please note that we will never ask you to disclose your password in an unsolicited phone call or email. Additionally, you should not provide us with an email account that you share with another person. If you do so, then any emails sent to that account would be accessible to that other person.

Transfer of Personal Information to a foreign jurisdiction

We operate and provide products and services to guests that may be located in many different countries around the world. The global nature of our business means that your personal information may be transferred across national boundaries, including, potentially, to countries that do not require companies to look after your personal information in the way you have come to expect in your own country. Your personal information may be subject to the laws of those foreign jurisdictions and may be accessible without notice to you by the courts, law enforcement and national security authorities of those foreign jurisdictions.  Where we transfer your personal information across national boundaries, we will protect your personal information by ensuring that those transfers are made in compliance with all relevant data protection laws.

Your Rights

Subject to applicable law, and under certain conditions, you have the following rights with respect to your personal information:

  • Right to access the personal information we hold about you.
  • Right to correct or modify your personal information.
  • Right to delete the personal information that we hold about you.
  • To withdraw your consent to our use and/or disclosure of personal information.
  • Right to object to any processing based on our legitimate interests unless our reasons for undertaking that processing outweigh any prejudice to your data protection rights;
  • Where we make a decision about you based solely on our profiling activities and you do not agree with the decision we have made, perform a manual reassessment of our decision using the same information;
  • Restrict how we use your personal information whilst a complaint is being investigated; and/or
  • Transfer your personal information to a third party in a standardized machine-readable format.

We are obliged to keep your personal information accurate and up to date. Please contact us regarding any changes to your personal information. If you demonstrate to us that your personal information in our records is inaccurate or incomplete, we will amend the personal information as required. Where appropriate, we will transmit the amended information to third parties having access to your personal information.

Where you make a request to exercise your rights in relation to your personal information or you make a complaint, we ask that you provide us with sufficient information so that we can properly address your request. Our response will be subject to verifying your identity. Please note that there might be some latency in fulfilling your request. We reserve the right to refuse to provide personal information where we are not legally required or are prevented by applicable law to do so.

In certain circumstances, we may need to restrict your rights to safeguard the public interest (for example, the prevention or detection of crime) and our interests (for example, the maintenance of legal privilege).

Your Rights regarding the Aurora Rewards Account

If you sign up for an Aurora Rewards account, you can view, manage and modify your personal information on your own by signing into your account. You can cancel your Aurora Rewards account at any time by submitting a request to us at privacyofficer@canadiannorth.com. However, Canadian North can only administer flight credits, travel credits, and Aurora Reward points though an Aurora Rewards account. Therefore, so cancelling your account means that you will forfeit any flight credits, travel credits and/or Aurora Reward points you have.

Canadian North will make readily available specific information about its policies and practices relating to the management of personal information to individuals who request it.

An individual can address a challenge concerning Canadian North’s compliance with the above Privacy Policy to the Director, Employee and Labour Relations, Canadian North’s Privacy Officer.

Canadian North will investigate all complaints. If it concludes that a complaint is justified Canadian North will take appropriate measures, including, if necessary, amending its policies and procedures.
